【Case Study】Accelerating business process efficiency and standardization by consolidating disparate accounting software, utilizing a cloud-based division of labor between Tokyo and Hokkaido./BDO

BDO Tax Corporation utilizes a global network to comprehensively support the overseas expansion of Japanese companies and the entry of foreign companies into Japan. In order to enhance the efficiency and standardization of clients' accounting operations, the Business Engineering (B-EN-G) cloud-based international accounting outsourcing service called "GLASIAOUS" has been introduced. This implementation not only achieves business process streamlining but also significantly contributes to smooth operations in remote and distributed environments, leveraging the characteristics of cloud technology.

Before
  • Each client utilizes 7 to 8 different accounting software, making standardization of operations difficult
  • We aim to achieve consistent service delivery to clients, independent of staff skills or operational methods.
  • The translation work for the reports submitted to clients' overseas headquarters is burdensome
After
  • We aim to accelerate the establishment of a system that enables standardized processes and delivers consistent, high-quality results to our clients
  • By streamlining the Japanese-to-English translation process, we can significantly reduce the time and effort required for report creation
  • We have also eliminated the double data entry issue that previously occurred between the accounting system and the banking system
Why GLASIAOUS
KeywoKeywords:Standardization of multiple accounting software systems/Standardization of accounting operations/Elimination of double data entry/Resolution of business individualization/Resolution of management complexity
/Realization of remote work during disasters/Establishment of a remote division of labor system

The significant factors that led to the adoption of this accounting system include its ability to support multiple languages such as English, Chinese, Vietnamese, and Thai, as well as its multi-currency capabilities, making it suitable for global use. Being a cloud-based service also allowed for easy and cost-effective implementation, appealing to businesses of all sizes, not just large enterprises, as it helps reduce initial expenses and facilitates a hassle-free start to utilization

Mr. Kosei Matsuo
Using 7 to 8 different accounting software tools leads to task personalization and complicates management.

At BDO Tax Accountants, leveraging the international network of BDO International, we offer comprehensive accounting services. Our wide range of services is backed by advanced specialized knowledge and extensive business experience, allowing us to address the complex tax-related issues our clients face effectively.
In particular, for clients operating businesses in multiple countries or regions, we provide outsourcing services for daily and monthly operations, financial closing tasks, and consolidated financial reporting. However, as the number of clients increased, the complexity of our operations became a challenge.
Mr. Kosei Matsuzawa, a certified public accountant at BDO Tax Accountants, stated, "We were using 7 to 8 different accounting software tools, each with its unique operating methods for different clients. This led to fragmented workflows, task personalization, and complicated management."
Furthermore, this challenge extends beyond just an issue of operational efficiency. Mr. Tsuyoshi Uchida, a senior member at BDO Tax Accountants, emphasizes, "Regardless of which staff member performs the tasks, we must always deliver the same quality of service to our clients. Enhancing the reproducibility of stable service quality is crucial. For this purpose, standardizing accounting software and accounting procedures became an essential task."
Another significant challenge was the language barrier. BDO Tax Accountants had clients that included Japanese subsidiaries of foreign companies, requiring the submission of English reports to their overseas headquarters as part of their tasks. However, each individual was responsible for translating these reports into English, leading to increased workloads and, more importantly, hindering the standardization and uniformity of service quality mentioned earlier.

In order to address the aforementioned challenges, BDO  began considering the adoption of new accounting software. Initially, considering the convenience of centralizing accounting information from overseas subsidiaries, BDO Tax Accountants explored the adoption of the global business management solution "A.S.I.A." (now known as mcframe GA) provided by Business Engineering (B-EN-G) for overseas expansion companies. However, there were concerns that it might be over-engineered and the cost might not justify the benefits. During this time, they came across the existence of GLASIAOUS.

Mr. Matsuzawa explained, "In 2013, we heard from B-EN-G that they were developing GLASIAOUS, a more streamlined and user-friendly version of A.S.I.A., and we decided to provide our input from a user's perspective and collaborate in its development."
Afterwards, BDO officially started using GLASIAOUS and began its implementation with their first customer in March 2016. Currently, they are leveraging GLASIAOUS for accounting tasks for approximately 30 client companies.
Mr. Matsuzawa stated, "What particularly impressed us abFurthermore, he mentioned, "In the beginning, we were exploring the tool with a trial-and-error approach, but as the number of clients using it increased, knowledge of the tool accumulated, enabling us to perform tasks more efficiently. Continuous improvements have been made, and the user interface has been refined since the initial version, making it even more user-friendly."out GLASIAOUS was its ability to handle multiple languages and currencies. Not only does it support translation from Japanese to English, but it also offers the convenience of using Chinese, Vietnamese, Thai, and other languages, which has been extremely helpful."  Furthermore, he mentioned, "In the beginning, we were exploring the tool with a trial-and-error approach, but as the number of clients using it increased, knowledge of the tool accumulated, enabling us to perform tasks more efficiently. Continuous improvements have been made, and the user interface has been refined since the initial version, making it even more user-friendly."

Have experienced significant efficiency improvements in report creation and payment-related tasks

Standardizing their accounting software with GLASIAOUS has not only promoted uniformity in their operations but also brought various benefits.

One of the benefits is the multilingual support. Previously, they spent a significant amount of time and effort translating reports into English for submission to overseas headquarters. They can now simply convert the language with the click of a button, effectively resolving this issue. This capability ensures that they can deliver the same quality of output regardless of individual proficiency in English, improving overall consistency in their services.

Additionally, in the past, they had to input the same information into both the accounting system and the banking system for accounting and payment processes. However, with GLASIAOUS, they can input the data once, and it automatically generates FB (Farm Banking) data, eliminating the need for this redundant double-entry process. This streamlining has helped save time and effort in their operations.

Mr. Uchida further explained, "Not only does it reduce the workload by eliminating the need for separate registration and checking processes, but it also contributes to reducing the risk of verification errors. This has led to a decrease in mental burden and overall stress."

Leveraging the cloud has also facilitated smooth collaboration between remote locations, enhancing business coordination and communication across different sites.

Indeed, the fact that GLASIAOUS operates as a cloud service has significantly contributed to their business. Even H.DEGUCHI Tax Accountant Office, which has a business partnership with BDO, also utilizes GLASIAOUS to work alongside them in managing their clients' accounting tasks. The cloud-based approach offers greater flexibility and accessibility for seamless collaboration and efficient workflow management.
Mr. Atsushi Kondo from H.DEGUCHI Tax Accountant Office stated, "Our office is located in Hokkaido, but we can have timely data checks and smooth communication with BDO Tax Accountants in Tokyo.

If it's on-premises software, in case there is an error in the journal entry, for example, there would be exchanges like correction requests through email or re-sending of the corrected data. Determining which data is the most up-to-date becomes difficult, and the management becomes cumbersome. In contrast, Mr. Uchida says, "If you share the data in the cloud, it can be as simple as notifying others to check the data on the web after making corrections. Thanks to such a system, we were able to smoothly transition to remote work even during the COVID-19 pandemic in 2020."

Furthermore, Mr. Uchida continues, "Although bank payments can only be processed from the office terminals, by setting up automatic generation of FB data through GLASIAOUS payment function, we can handle bookkeeping and data verification remotely. This way, when we come to the office, we only need to take care of the bank payments, allowing us to reduce our time spent commuting to work."

Currently, out of approximately 30 companies that BDO provides services to, about 30 of them are using GLASIAOUS. Lastly, Mr. Matsuzawa mentioned, "There are still many features, such as accounts receivable and invoice issuance, that we haven't fully utilized yet. We plan to gradually make use of them. We aim to strengthen our capabilities to perform tasks more efficiently and provide higher quality services to all our clients who are using GLASIAOUS."
